Position: Synch Coordinator
Location: Los Angeles, CA (Hybrid)

The Position
Reservoir is seeking a Synch Coordinator based in Los Angeles, CA, to support its Creative Synch team by organizing and managing metadata, playlists, and audio assets across internal platforms, and supporting with outbound synch pitches. This role will report to the EVP, Global Head of Synchronization Marketing, and work closely with the Creative Synch team. The role includes, but is not limited to, the following responsibilities:

  • Tag and catalog songs using the internal metadata framework, ensuring that all tracks are properly labeled for consistency, accuracy, and optimized searchability across our growing catalogs.
  • Create metadata spreadsheets for import into DISCO.
  • Curate, organize and refine playlists and samplers strategically crafted for music supervisors in Spotify and DISCO.
  • Prepare materials for outbound synch pitches and help to format project-specific samplers for film, television, advertising and trailer opportunities.
  • Maintain a well-organized, metadata-rich and sync ready music library.
  • Ingest audio files for new signings and new releases from existing clients.
  • Verify audio completeness and metadata accessibility for catalog signings.
  • Assist in researching new tools and technologies to improve Synch team workflows.
  • Collaborate with the Synch and A&R teams to maintain a streamlined and accessible music library.
  • Other administrative duties typically performed by coordinators.

Requirements:

  • Proficient in Excel and experience with DISCO is preferred.

Compensation
An annual base salary commensurate with skills and experience of $50K-55K, plus bonus and competitive benefits will be offered to the successful hire.

Position: Senior Role, Recorded Music Royalties
Location: Nashville, TN (Hybrid)

The Position
Reservoir is seeking to fill a leadership position in its Recorded Music Royalties division in Nashville, TN or New York, NY to play a pivotal role in the full lifecycle of royalty operations. This position will help drive all aspects of artist royalty processing and analysis, ensuring timely and accurate reporting to our roster of recording artists. The position will report to the Head of Royalties and will independently manage workflows, while overseeing the daily workload of junior team members. The role includes, but is not limited to, the following responsibilities:

  • Manage core functions of the preparation and distribution of royalty statements to recording artists, producers, and 3rd party contributors.
  • Supervise and support a Royalty Coordinator, delegating tasks and reviewing deliverables for accuracy and timeliness.
  • Manage bulk product creation and validation in the royalty system for catalog acquisitions and new releases.
  • Interpret contract terms to ensure royalty rates, escalations, and deductions are applied correctly.
  • Manage ingestion, validation, and mapping of sales data, including DSP, physical, neighboring rights, and licensing income.
  • Supervise mechanical royalty processing, ensuring all publisher splits are current and any rate adjustments are accurate based on controlled composition clauses where applicable.
  • Identify and troubleshoot discrepancies in royalty reporting and proactively resolve issues with internal and external stakeholders.
  • Field inquiries from artist teams regarding statement details, ensuring prompt, accurate, and clear communication.
  • Collaborate on system enhancements, process improvements, and data quality initiatives to optimize royalty workflows.
  • Provide ad-hoc reporting, analysis, and audit support to senior leadership and auditors as needed.

Requirements:

  • Minimum of 10 years of experience in artist royalties, including exposure to the full lifecycle of record label royalty administration.
  • Highly proficient in Excel, including pivot tables, VLOOKUP/XLOOKUP, and advanced formulas. Experience with Tableau Prep is preferred.
  • Bachelor’s degree in Music Business, Finance, Accounting, or a related field.
  • Strong proficiency in record label royalty systems.
  • In-depth understanding of mechanical, digital, physical, and licensing revenue streams and related contractual obligations.
  • Demonstrated ability to interpret complex artist, producer, JV, and sample agreements.
  • Exceptional attention to detail and organizational skills with a proactive, solution-oriented mindset.
  • Strong communication and interpersonal skills, able to interact professionally with both internal teams and artist representatives.
  • Experience managing junior staff members is preferred.
  • Passion for music and interest in following industry and technology trends.

Fall 2025 Internships:

Reservoir’s internships will provide meaningful and educational real-world experience within the scope of an independent music publishing company. Reservoir’s objective in hosting all interns is to provide valuable preparation for a professional career in the entertainment industry. Reservoir’s fall 2025 internship program is a maximum 16-week, part time, paid program and students may earn college credit upon completion of the internship. Internships can take place either fully in person or hybrid. Applications must be submitted by August 24th at 12pm EST.

Position: Digital Ops Intern
Location: SoHo New York, NY (Hybrid)

Intern Rotation: 

Digital Ops Intern duties include, but are not limited to: 

  • Compiling and organizing all essential release assets for U.S. releases, including metadata, audio files, label copy, sales notes, and artwork
  • Generating and maintaining critical identifiers for releases, including catalog numbers, UPCs, and ISRCs
  • Supporting the catalog migration and acquisition processes for U.S. repertoire and deals
  • Building and inputting release data and assets into OpenPlay, ensuring accuracy and adherence to internal metadata standards (this role does not involve technical CMS management)
  • Uploading promotional and official video content to YouTube and Vevo, including content tailored to local channels or campaigns

Position: Music Publishing Marketing Intern

Marketing Intern duties include, but are not limited to: 

  • Assisting in producing and posting content for company web properties to promote Reservoir and its roster and catalog, including:
    • Drafting news stories, e-newsletters, and social media posts
    • Creating custom graphics and video assets
  • Researching and brainstorming new digital marketing platforms and tactics 
  • Learning how to identify and conceptualize promotional opportunities in the music publishing space; assisting in researching, assessing, and pitching for these opportunities
  • Supporting in press planning and surveillance

Position: Royalties & Income Tracking Intern

Intern Rotation: 

Royalty & Income Tracking intern duties include, but are not limited to: 

  • Becoming familiar with royalty terminology, processes, and various reporting
  • Processing incoming royalties received from affiliated parties using Vistex Music Maestro 
  • Assisting with organizing and maintaining physical and digital statements received
  • Providing ad hoc assistance with month end royalty processing
  • Aiding in income tracking efforts by claiming unclaimed works on various portals
  • Identifying and raising claims for gaps in income from various sources
  • Assisting the income tracking team with analyzing and forecasting vendor payments.

Position: Recorded Music Marketing Intern

Intern Rotation: 

Recorded Music Intern duties include, but are not limited to: 

  • Conducting quantitative and qualitative research on consumer behavior, marketing trends, digital and social media developments and specific industry/client business to enhance sales probability
  • Assisting with D2C website (release descriptions/social media links/gathering content) 
  • Creating marketing materials, one sheets, custom graphics and video assets for promotional ops & social media 
  • Supporting metadata quality assurance across recorded music catalogs within content management system 
  • Conducting label copy and rights provenance research for legacy recordings as needed 
  • Supporting the digital ops team regarding the delivery of recorded music catalogs to DSPs 
  • Ad hoc projects as needed 

Requirements 

Candidates must have a basic understanding of record label operations. Experience using Microsoft Excel is a plus. Candidates must be undergraduate or graduate students concentrated in a music business or marketing degree.
